Update to Rules and Regulations Medical Records Plan

recordsAt the August 26 MEC meeting and the September 3rd Board meeting, the following changes to the Physician Suspension part of the Medical Records Plan were approved.   These changes went into effect on November 10, 2014.

Operative Reports need to be completed within 48 hours post procedure.  The surgeon will be notified at 48 hours and if not completed by 72 hours post procedure the surgeon will be placed on suspension until the full Operative Report is complete.

Query notices will go out to the Physician when queries are assigned.  If the query is not completed within 7 days of the date of the query, Physician will be eligible for suspension and will be notified again that they have 7 more days to complete or they will be suspended on day 14 from the date of the query.

For both Meditech and hCare deficient records, notices will go out to Physicians on a weekly basis for any deficiencies that are 21 days or older with the Physician being suspended when the record reaches 30 days old.  Suspension is for both Meditech and hCare delinquencies.

Any questions regarding these changes or medical records, please contact Donna Maier, Director Health Information Management at 540-498-4571 or donna.maier1@hcahealthcare.com.  For assistance or issues in accessing the Meditech or hCare system to complete deficiencies, please contact Kristy Napier at 540-498-4194.
